What is ESC Conference Management (Conference Central)

Conference Central helps you organize your conference, using a database (FileMaker Pro) to store the data, and web pages (Lasso) to interact with your administrative team, session organizers, authors, and registrants.

Over View

Conference Central helps you organize your conference, collect submissions, track progress, organize sessions, register attendees, and issue reports.

  • Your authors can submit their proposals and papers through a form on your conference web site, and as those abstracts and full papers come in, you can track them administratively.
  • Session organizers can administer the submissions coming in from authors, make decisions, issue emails, and create reports on progress.
  • Attendees can sign up for the conference with an online registration form, pay with a credit card, and get confirmation. In turn, their information flows through to create badges, tickets, receipts, and other information you need to assemble a registration packet. Registration can be available on the floor of the conference.
  • Administrative staff can configure the forms, email messages, and reports to monitor progress, troubleshoot problems, and prepare the proceedings.
We know that your conference is unique. You can customize Conference Central to prepare your own conference. Because Conference Central is built on an easy-to-modify database, you can insert your own conference details—names of people, email addresses, conference URLs, events, prices, and important dates.

Capabilities

Conference Central gives you control over many aspects of your conference.
The application enables you to:

  • Set up forms on web pages within your conference site, to exchange information with people who want to propose a session, submit an abstract of a paper, or register for the conference.
  • Automate the flow of emails to administrative staff, session proposers, authors, and registrants.
  • Offer a web form through which a potential session organizer can propose a session.
  • Track session proposals as they are accepted, declined, or put on hold.
  • Display descriptions of accepted sessions on the conference web site.
  • Receive author proposals (abstracts) for each session.
  • Record decisions about author proposals (abstracts) as they are accepted, declined, or put on hold.
  • Close a session, when you have enough author proposals, so that you are not inundated with more.
  • Allow session organizers to monitor the author submissions.
  • Enable authors to submit abstracts, and, when those are accepted, full papers and final print-ready abstracts.
  • Publish all the final abstracts for a session to the web, to encourage visitors to attend.
  • Set up fees, policies, and payment methods for registration.
  • Edit an individual's registration information.
  • Charge an individual registration.
  • Produce registration receipts.
  • Produce name tags, badges, and tickets.
  • Monitor registrations, and produce reports on registration.
  • Put together proceedings on CD and in print.
